As an assistant office manager, you will be responsible for assisting, coordinating, integrating and representing all facets of financing, accounting, organizing, filing, front desk services, as well as coordinating with maintenance staff and homeowners. You will help organize and assist in managing office daily activities and performing all secretarial duties for the manager. Examples include: meeting and greeting customers, receiving phone calls, delegating work to maintenance staff, and checking in with leasing agents.
Relationships:
Reports to the Manager.
Maintains working relationship with the office staff.
Maintains relationship with tenants.
Responsibilities:
Perform a variety of general accounting and bookkeeping tasks
Perform account payables and receivables tasks.
Entering data into computer system using QuickBooks and Excel
Respond effectively and efficiently to customers, office staff, homeowners.
Answer emails to homeowners and other emails in regards to daily office activities
Coordinating with outside suppliers/contractors for maintenance related work
Qualifications:
Proficient in Microsoft Applications including Word and Excel
QuickBooks experience a must
Organized with effective verbal and written communication skills
Attention to detail and ability to multi-task
1-2 years proven work experience
