Every tool your team uses is getting AI added to it. Microsoft. Google. Your case management software.
It is happening whether your organization is ready or not.
The question is not whether your staff is using AI.
The question is whether you have told them how.
If you have not defined which tools are approved and what data should never go near them, your team is making those calls on their own. With client information. With health records. With data that has real consequences if it ends up somewhere it should not.
A policy does not have to be complicated. It has to exist.
We cover this in our AI Leadership series for clients.
If it is on your mind, let's talk.

What is the difference between a managed IT partner and a break-fix provider? For NonProfits in CT and RI, it matters.
Many NonProfits start with break-fix IT: you call someone when something breaks, they fix it, they invoice you, and the relationship ends until the next problem.
Break-fix has structural limitations that matter for NonProfits:
❌ Reactive by design: your provider has no incentive to prevent problems because problems are their revenue
❌ No continuity: a different technician handles each call with no accumulated knowledge of your environment
❌ No strategic guidance: break-fix providers fix what is broken, they do not help you plan ahead
A managed IT partnership works differently:
✔️ Proactive monitoring problems are identified before they disrupt operations
✔️ Deep familiarity — your provider knows your systems, your staff, and your mission
✔️ Strategic advising — technology decisions are made with a long-term partner, not a one-time vendor
For NonProfits managing donor trust, client data, compliance obligations, and program continuity, the difference between these two models shows up most clearly when something goes wrong.

Auditors no longer accept policy statements as proof of controls.
MFA enforcement. Backup validation logs. Security training documentation. Breach response procedures.
For NonProfits with grants, regulated data, donor platforms, or cyber insurance applications, these are no longer optional. Funders, insurers, and regulators are checking and they want documented evidence, not assurances.
What they are looking for:
✔️ Multi-factor authentication enforced across all critical systems, with documentation
✔️ Backup validation logs showing data recovery has been tested
✔️ Security training records showing staff received documented cybersecurity training
✔️ Written breach response procedures
Being audit-ready protects more than your compliance status. It protects your ability to secure funding, maintain donor trust, and deliver services without interruption.
If you are not certain your organization's documentation would hold up to a formal review, a structured IT assessment is a good starting point.

Most NonProfits don't budget for IT. They budget for what broke last year.
That's reactive IT and it's one of the most common hidden costs your NonProfit probably has.
