How to Organize Your Day Efficiently as a Freight Broker Agent.

The daily tasks that a Freight Broker Agent must manage are endless. Agents are responsible for prospecting, cold calling, checking load boards, booking trucks, various status updates and the list goes on, in this post I would like to help you to organize your day efficiently so that this long to do list doesn’t get overwhelming.

The key to a successful day over all in my opinion is making your bed, I know this has nothing to do with Freight Broker Agents and its rather specific but trust me, setting the vibe is important. Get the good vibes flowing as soon as you wake up however that may work for you.

You can start bright and early by sitting down with a morning beverage of your choice and making an actual written to do list reflecting your tasks on this day. Lists are my tool to stay afloat at my job, there’s no way id remember everything I have to do without them. The earlier you start the easier your job will be. Identify any tasks that are important for your current shippers, carriers, and loads and add them to the top of the list as these come before anything else. After your day is nice and mapped out go ahead and go through any work-related emails and messages or voicemails, don’t forget to check your TMS as well! Send a quick text for a status update on all the loads you have from the days before. Try to identify any issues the carrier is facing as early in the day as you can so that you have plenty of time to resolve anything that needs your attention. Check to see what shippers have loads that still need to be moved, and what carriers have trucks that need to be filled. Organizing all this information into some type of spreadsheet will make your life much easier. Depending on your email set up, sending out a mass email within your network of contacts may be helpful when finding any matches for the trucks and loads that you are working with. Use your loadbaord to fill up any trucks and get loads moving.

You should probably take a break at this point, maybe have a bite to eat. Refocus yourself, spark those good vibes back up! The second half of the day is going to be a little less chaotic, you can now work at a relaxed pace.

It’s time to go ahead with your vetting and prospecting, make your cold calls, get networking, do the recruiting, whatever you do to bring in new business. Make sure you check on your carriers and the loads that were covered this morning, following up will assure that you execute your responsibility in making sure that everything goes smoothly. Refer to your spreadsheet to help you with this.

That pretty much wraps it up, but remember every person is different and the way you work is unique to your lifestyle. It is vital to try to get the most important tasks done first so that the rest of your day is smooth sailing.

At the end of your day, decompress and make sure you get a good amount of sleep because you’ll need a sharp mind to do it all over again tomorrow!
