We are looking for an Administrative Assistant to work directly with the Operations Manager. email your resume to [email protected]. This is a fun, fast-paced job at our Draper office. Hours are Monday-Friday 8:00 am to 5:00 pm. and does require local travel for property visits with mileage reimbursement. The duties and responsibilities include providing administrative support to ensure efficient operation and success of the company. Our office supports all property managers and employees at our 30+ locations through a variety of tasks related to organization and communication. The Administrative Assistant is responsible for confidential and time sensitive material. Training will be provided to help familiarize you with our company’s concepts, practices, and procedures. The perfect candidate will have the ability to effectively communicate in person, via phone and email and be proficient in Microsoft Excel.
Responsibilities:
- Organize and schedule meetings and appointments
- Maintain contact lists
- Produce and distribute documents
- Assist in the preparation of regularly scheduled reports
- Provide general support to visitors
- Provide information by answering questions and requests
- Research and create presentations
- Generate reports within Operating Program and Microsoft Excel
- Handle multiple projects
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Contribute to team effort by accomplishing results as needed
- Organize travel arrangements for Operations Manager
- Write letters and emails on behalf of other office staff
- Maintain computer and manual filing systems
- Handle sensitive information in a confidential manner
- Reply to email, telephone, or face to face enquiries
- Receive, sort, and distribute the mail
Requirements:
- Proven admin or assistant experience
- Knowledge of office management systems and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in all Microsoft Programs
- High school diploma or equivalent; college degree preferred
