Fairhaven Rescue Mission is a nonprofit, nondenominational Christian ministry, men's homeless shelter, and men's homelessness recovery program committed to meeting the spiritual, physical, and emotional needs of the hurting and homeless population of the Northern Kentucky and Greater Cincinnati communities. Our mission is to Change Lives through the Good News of Jesus Christ.
Summary
The Coordinator is a highly administrative and organizational role responsible for managing food services and on the ground program responsibilities. The right candidate is far more skilled at meal planning, rather than meal preparation. Rather than functioning as a chef or solely executing tasks, this individual is a master delegator who helps build systems, oversees volunteer teams, and ensures seamless operations.
Roughly half of this role is dedicated to administering food logistics—including coordinating donation intake, managing inventory, and overseeing the reheating and serving of meals. The remaining time is focused on coaching and discipleship for residents in our Men’s New Life Program (NLP).
This is a full-time, non-exempt position. Schedule is M-F 10a-6:30p
Essential Duties and Responsibilities
A. Logistics Administration & Food Operations (Approx. 20 hours/week)
• System Management: Administer the inventory, storage, and rotation systems for all food and related supplies to minimize waste.
• Donation Coordination: Orchestrate the recovery of donated food by scheduling, tracking, and receiving Gifts-in-Kind (GIK) donations from local grocers, restaurants, Food Banks, and partner organizations. In some cases you’d redistribute donations we can’t use to other organizations.
• Data & Compliance: Ensure all received donations are accurately weighed, tagged, logged, and tracked (including GIK receipts) according to internal procedures. Ensure strict compliance with all Kenton County health codes, sanitation standards, and Mission food-safety standards.
• Delegation: Oversee and delegate the safe reheating, preparation, and serving of donated and catered food, ensuring meals are nutritionally balanced without needing to act as a primary cook. Report facility and equipment maintenance needs.
B. Program Coach & Discipleship (Approx. 20 hours/week)
• Case Management Support: Manage accurate data entry, maintain resident files, and track the progress of men enrolled in the New Life Program (NLP). Ideally, this candidate would help us launch similar activities for shelter guests.
• Operational Oversight: Orchestrate day-to-day NLP tasks, ensuring residents are efficiently scheduled for and completing assigned chores and program activities.
• Pastoral Care: Provide ongoing discipleship, mentorship, and relational support for residents navigating the program.
C. Volunteer Leadership & Delegation
• Recruitment & Scheduling: Actively recruit, schedule, and supervise kitchen volunteers and program residents to handle the day-to-day ex*****on of food preparation and service.
• Program Development: Develop volunteer service descriptions and create opportunities that fit ministry needs while ensuring volunteers have a positive experience.
• Training & Empowerment: Provide instruction to volunteers on food safety and operational workflows, empowering them to run daily tasks independently while communicating clearly and thoughtfully.
Minimum Qualifications
• A believer and committed follower of the Lord Jesus Christ, active in a local church, who aligns with the mission's values.
• High school diploma, GED, or equivalent education.
• Valid Driver’s License & Clean Driving Record
• Exceptional organizational and administrative skills, with a proven ability to juggle multiple overlapping projects, manage data, and build efficient workflows.
• Strong leadership capabilities with a focus on delegation, equipping others, and managing volunteer teams.
• Ability to teach and motivate others, communicating clearly and thoughtfully with volunteers and clients.
• Must possess or be able to obtain a Food Handler's Permit valid in Kentucky.
