At the time an applicant is selected from the waiting list (read when you call them in for the initial interview), you are required to run an EIV Existing Tenant Search on all household members. You are permitted to run the report earlier than that in accordance with your policy, but you must ALSO run it again at that time. Be sure you address any evidence that the applicant may be receiving subsidy somewhere else and have written documentation in the file to show the move out date. Within 90 days of transmitting a move-in or initial certification through TRACS you are required to run an EIV Income and Income Discrepancy report. This report will help you determine if there is information that was not reported to you. Any income discrepancy identified on this report needs to be documented (even if the notes is that the discrepancy was prior to move in). https://www.hud.gov/reac

Don’t forget that when you run the New Hire Report in EIV (which is required to be run at least quarterly) that you run the “Detail” tab of the report to capture which employment has been reported for household members.
