You have the data. But knowing where to focus and what to do next is often the harder part.

That’s why we’re excited to introduce Insights, a new feature in PracticeVital designed to help you move from data → insight → action, faster.

Insights surfaces the patterns and areas across your practice most worth your attention, giving you a clear starting point with

You’ll find Insights related to:
* Clinicians falling below your rebook target
* Appointments with no collected payment
* Where clients most often drop off in care
* Your top referral sources or payer concentration
* What’s working well across your team

We’ll also continue adding new Insights over time. Have an idea for something you’d love to see? Share with us in comments.

You don’t need to become a numbers person to lead a successful practice.

You just need enough visibility to make confident decisions.

The best business metrics aren’t about judging clinicians or creating a numbers-driven culture. They’re about helping you spot patterns, ask better questions, and support your team before small issues become bigger ones.

That’s the philosophy behind everything we build at PracticeVital, and the inspiration for our latest blog post.

📖 Read it at the link in our bio, and let us know: What’s one business question you wish was easier to answer?

Something’s been bugging you about the practice, but you can’t quite name it.

Referrals that never feel like enough. Clinicians missing session goals. A margin that’s lower than it should be. These get treated like separate fires — but they usually trace back to the same thing: no clear view of what’s driving your numbers.

We built a quick quiz to help you find the pattern. 12 questions, 2 minutes, a real read on where you stand.

Take it and see where you land →

The summer slump shows up the same way every year, and most practices respond to it the same way every year too. After it’s already happening.

A few things that actually help: ask for the fall rebooking the moment someone cancels for summer, not weeks later. Look at last year’s June–August numbers by clinician so you know who tends to dip and who doesn’t. And treat lighter weeks as planning time instead of dead time.

None of this stops summer from being summer. It just means you’re not caught off guard by it.

Most retention problems aren’t a people problem. They’re a systems problem.

In this clip, Nicole McCance points to something simple: a follow-up strategy on no-shows and cancellations can drive as much as a 20% revenue bump.

But the real theme of our conversation together goes deeper. It’s about building practices where the data catches what’s falling through the cracks, so you’re not relying on memory, gut feeling, or hoping someone speaks up.

That’s the thread through our chat with Nicole McCance: retention, contractor management, performance conversations — all of it gets easier when you can actually see what’s happening in your practice.

Most practice owners know their data is important. But when it comes to marketing decisions, they’re still going off instinct.

More inquiries don’t fix a high churn rate. More ad spend doesn’t fix a broken intake. The practices that grow without chaos start with 5 numbers, read them every month, and let those numbers drive every marketing call they make.

We put together a free guide with of SamBright that walks you through exactly which metrics to watch, what each one is telling you, and what to do next when it comes to marketing for your group practice.

Tracking numbers doesn’t make you less of a clinician. It makes you a better leader.

PracticeVital Co-Founder Tory Krone joined Linzy Bonham on the Money Skills for Therapists Podcast (ep. 211) to talk about the metrics that actually matter in a group practice (churn, retention, rebooking, referral quality) and how paying attention to them moves you out of guesswork and into steadier decisions.

If data has ever felt cold or disconnected from the work you care about, this episode reframes that.

Good numbers don’t replace your clinical instincts. They help you act on them.

When a clinician’s retention dips, the worst thing you can do is wait and see.

The number itself isn’t the problem. It’s a signal. And depending on when clients are leaving, it’s pointing at something very specific: early fit, treatment transitions, scheduling friction. The pattern tells you where to look.

PracticeVital gives you the data to have that conversation well. Not a performance review. A coaching conversation, grounded in something real.

Swipe through for the 3-step framework we recommend when retention starts to slide.

Your practice is probably fine right now. But “fine” has a way of quietly unraveling before you notice.

The practices that stay ahead aren’t just good at their craft, they check their numbers. Weekly. Monthly. Annually. Not because they love spreadsheets, but because regular data check-ins catch the stuff you’d otherwise miss: the clinician who’s struggling to rebook, the retention dip that started three months ago, the revenue gap that looks small until it isn’t.

Swipe through for the workflow we use with group practices to build this habit — daily, weekly, monthly, and annual reviews, each with a specific job to do.

If you want to build this in your practice, we’d love to show you how PracticeVital makes it automatic.
