A client asks for a refund claiming they never received what was promised and your team has no way to prove otherwise.

That situation gets expensive fast.

One issue we see in refund disputes with online programs is the gap between what was promised, what changed during delivery, and what the business can actually document afterward.

If your program includes things like

✔ live coaching calls
✔ Voxer or WhatsApp support
✔ bonus trainings
✔ payment plans
✔ substituted services or schedule changes

you need systems in place that track what clients actually received.

Can you see whether someone logged into the course?

Can you verify attendance on live calls?

Do you have records showing when support was delivered or when program changes were communicated?

As businesses scale, delivery naturally evolves. A live call becomes async support. A bonus changes. A coach steps in. None of that is automatically a problem, but if your contracts and internal systems do not account for it clearly, refund requests become much harder to defend.
