Job Description: This position will be responsible for the promotion and continuity of the Rose District brand in the Tulsa Metro and beyond. They will also serve as the face of the Rose District, being responsible for ensuring consistency with outside entities as well as merchants and providing them a point of contact for information. Likewise, they will be responsible for ensuring events held in the district are of a quality fitting of its reputation and are promoted accordingly.
Position would be a 40-hour a week minimum salaried position with occasional after hours events, including BA Chamber events and programming.
Education:
- Bachelors degree in communications, branding, marketing and/or events management or related fields preferred.
Skills required:
- Ability to present oneself in a professional manner in both appearance and verbally
- Ability to articulate and draft messaging both verbally and in print
- Able to maintain website using WYSIWYG platform
- Proficient in managing most social media platforms and promotions
- Graphic design experience a plus
- Public speaking ability a plus
- Flexibility to attend after hours/weekend events
- Experience with event planning/coordinating a plus
Responsibilities would include, but not limited to:
- Intermediary between merchants, public, DAB, city, Chamber and EDC
• Represent Rose District to all parties for the sake of cohesive communication and strategic problem solving
• Attend main street events and meetings to stay up-to-date on happenings and initiatives
• Create and send out newsletters to the public, merchants, and constituents that keep them informed of happenings in the district.
• Attend DAB meetings and give reports on progress
- Brand, Website, and social media management
• Manage public image and continuity of the brand message and use
• Generate content for website and all social media platforms to increase public interest
• Keep information on both website and social media timely and up-to-date
• Attend Rose District events for live tweeting/social media posting; event support; media relations support; and photo/video capture.
• Create collateral that includes the Rose District brand for promotional pieces and web presence.
- Promoting and assistance with events that bring people to the Rose District
• Promote the Rose District as a venue for regional community events and serve as the first point of contact for individuals/organizations who are interested in hosting events in the district.
• Guide and assist event planners to host events that best serve the merchants and the community and live up to the brand we have created in the district.
• Promote events in the district to increase attendance and attract future events.
• Work with merchants and merchant groups to encourage additional events throughout the year and assist with production of said events.
• Streamline the events application process and assist individuals navigating the special events permitting process.
- Promote Rose District Plaza Venue
• Assist the parks and rec department as an active “salesperson” for the Rose District Plaza to provide site tours and information; respond to RFP; and assist with educating the public about the venue and its potential uses.
Bookkeeper
GENERAL OVERVIEW OF THE POSITION:
This position will support the CEO, Chamber SVP and EDC SVP in carrying out the financial responsibilities of the Chamber and EDC. Additionally this position will assist in handling day to day HR issues such as payroll, leave requests and benefits questions. Full or part-time candidates will be considered for the position.
PRIMARY DUTIES AND RESPONSIBILITIES:
• Maintain all budgeting information and produce month end reports to the executive team
• Manage employee credit card applications and charges
• Process all accounts payable in a timely manner
• Process all accounts receivable, including invoicing for memberships, sponsorships, etc.
• Track aging report and work with the appropriate staff to keep the aging report recent
• Manage check requests and employee reimbursement checks
• Manage relationship with payroll software company
• Assist CEO with all benefits, including 401(k), health care, short term disability, etc.
• Manage petty cash account
• Assist executive team with managing and tracking contracts
• Assist membership staff with tracking trade memberships and sponsorships
• Maintain trade database for use by all staff
• Work with appropriate staff to ensure fulfillment of sponsorships
• Learn and show high proficiency in managing Chamber database, ChamberMaster
• Assist the CEO in tracking and maintaining company insurance policies
• Perform other bookkeeping, or administrative tasks as required from time to time – quite often on short notice - by the CEO or SVP’s
• Assist with Annual Awards Banquet, Rooster Days, Taste of Summer, Santa Run, TRC & Buy Broken Arrow
• Assist staff with membership events as needed; will be expected to work some early morning, evening and weekend events
• Other duties as assigned by management
SKILLS AND ABILITIES:
• Bachelor’s degree in accounting, or a Bachelor’s degree in business with emphasis in accounting, is required.
• Degree(s) must be from a credible college or university
• Must be a perfectionist by nature, with no tolerance for financial sloppiness.
• Must be highly skilled in dealing with financial and numeric data.
• Must be highly skilled in use of Excel Spreadsheets and QuickBooks with ability to learn new software quickly.
• Must have very good verbal and written communication skills.
• Must have excellent work habits, including a willingness to work the hours necessary to get the job done, especially when important deadlines cause greater than normal departmental pressures.
• A minimum of 2 years’ experience in bookkeeping is required.
• Excellent customer service skills, professional demeanor and appearance
