We are looking for a front office assistant / office manager for a mental health group practice (www.wholeconnection.org). Your role is to support the directors of the organization on diverse tasks, create and maintain a pleasant work environment for our staff, ensure organizational effectiveness, communication and safety, respond to client inquiries and connect them to services. We are looking for a team player who is able to accurately handle administrative duties and excellent client care and is looking to be part of an organization for at least the next two years ahead.

Qualifications and Skills
● High School diploma or GED
● Knowledge of office administrator responsibilities, systems and procedures
● Proficiency in Google Documents, Google Drive, Google Calendar and Zoom
● Hands on experience with office machines (e.g. fax machines and printers)
● Excellent time management skills and ability to multitask and prioritize work
● Excellent written and verbal communication skills
● Patience/empathy for our clients
● A creative mind with an ability to suggest improvements
Desired Qualifications
● Bilingual English-Spanish preferred
● Previous Customer Service work preferred
● Previous Assistant work preferred
Responsibilities/Tasks
● Attend and respond to clients’ inquiries
● Assist in setting up Phone Screens
● Check insurance eligibility
● Work with insurance and claims departments
● Assisting in application process/selection of new intern/practicum applicants
● Support clinical staff in enrolling in different systems
● Reach out to community organizations in area to network regarding WC services
● Support directors in organizing/coordinating year-long trainings
● Track sources of clients referrals
● Be in charge of office maintenance (ordering missing supplies, etc.)
● Support updates of the website, and track responses in social media
