JOB DESCRIPTION
At Felix Media Solutions (FMS), the Purchasing Manager is responsible for sourcing, ordering, and tracking installation components. This person serves as a key point of contact for the sales team members who create AV solutions and for vendors who supply those components, acting as a liaison between the two. This position is recognized as key to the success of company field operations. As we grow, you will have the ability to create processes to suit your role, giving you latitude as to the direction of your work day.

This role is a salaried role with the expectation of 40 hrs/week. We offer a starting salary of $60,000 annually (based on qualification and experience) with the potential to grow with the company. Professional development is supported and encouraged.

DUTIES
Read a Bill of Materials (BOM) supplied by the FMS sales team and purchase all components needed to fulfill the project
If the BOM isn’t specific, be comfortable reaching out to the sales team to clarify part numbers or color
Change BOM as necessary in the event of pricing changes so that profit/commissions can be accurately tracked by the Accounting Technician
Serve as the primary contact for all vendors
New vendor set-up/complete tax forms
Manage relationships with vendors
Manage vendor invoices
Reach out to vendors monthly for pricing updates and update internal (FMS) pricing guides; notify the sales team to update their bids
Be aware of the ending of product lines; research and source substitutions
Alert sales team for “common part” price changes to so they know in time to change proposals
Create, and send, and track purchase orders (POs)
Serve as the point of contact for damaged freight/make determinations about accepting freight
Serve as the liaison between vendors and the FMS sales team
Track/be aware of status of projects so you know when to start ordering
Track materials’ lead times
Attend the weekly sales meeting to provide updates about the status of materials
Direct warehouse operations
Inventory management and returns
Manage the Return Merchandise Authorization (RMA) process
Restock consumables
Supervise the Warehouse Manager
Make sure all items have serial numbers
Order tools and warehouse supplies on an as-needed basis
Coordinate with the field team about the status of project orders
Keep track of status of jobs and material purchases
Attend the weekly Project Manager (PM) meeting to provide updates about the status of jobs. Be ready and prepared for questions with information at hand before the meeting begins;
Update materials tracking daily
Coordinate with the finance team to use payment terms and finance options strategically

MINIMUM QUALIFICATIONS
2+ years of work experience;
Must have reliable transportation;
Is a certified notary or willing to become one;
All new-hire employees must be fully vaccinated against SARS-CoV-2 or eligible for an ADA accommodation;

Experience with purchasing and logistics is preferred, but we are willing to train the right candidate;
Experience in the commercial construction industry or commercial AV is preferred, but we are willing to train the right candidate.

KNOWLEDGE/SKILLS
English-language proficiency;
Ability to read bill of materials (BOM), equipment installation instructions; and technical drawings;
Customer-service mindset;
Effective communication and problem-solving capabilities;
Exceptional attention to detail;
Ability to work in the following software applications: Slack; TEAMS; Basecamp; Knowify; Quickbooks; G-suite;
Ability to manage time effectively with interruptions (i.e. freight arriving);
Ability to coordinate multiple projects and offer status updates on meetings..

PHYSICAL REQUIREMENTS
Employee must be able to:
Lift up to 40 pounds;
Ship and receive freight

SUPERVISORY RESPONSIBILITIES
Manage warehouse operations; 1 direct report - warehouse manager.

TRAVEL
Little to no travel is required for this position.

WORK ENVIRONMENT
The purchasing manager role is an office-based position due to the necessity of inspecting, receiving, and shipping freight, but occasional work from home is available.

Knowledge of and ability to manipulate spreadsheets (through G-sheets) is crucial. Software proficiency is a must. The Purchasing Manager is responsible for supervising the Warehouse Manager, a position created to assist the Purchasing Manager.

This position reports to the Accounting Technician and is a member of the finance team, which is headed by the COO/CFO
