Most inbox stress is not about volume. It is about lack of structure.
If your inbox feels heavy, it is usually because:
▪︎You use it as storage
▪︎You do not have folders
▪︎You check it constantly instead of at set times
▪︎You leave emails unread “for later”
Try this instead:
▪︎Create 4 folders only. Clients. Leads. Finance. Internal.
▪︎Check email at scheduled times.
▪︎Archive aggressively.
An inbox should support your work, not control your day.

I realized something recently, long to-do lists can actually make us feel more overwhelmed instead of productive.
One thing that’s helped is moving tasks from a list into my calendar. Instead of writing “catch up on emails,” I block 20–30 minutes for it. Same with admin work or follow-ups.
Seeing tasks as time blocks makes the day feel more realistic and easier to manage, and it helps me actually get things done instead of pushing them to tomorrow.
Curious, do you usually plan your day with a to-do list or by scheduling tasks on your calendar?

⏰ The 2-Minute Rule: How Small Actions Prevent Overwhelm
Feeling buried under small admin tasks? Here’s a simple method to stay on top:
▪︎If a task takes 2 minutes or less, do it immediately.
▪︎For bigger tasks, break them into manageable 15–30 minute blocks.
▪︎Keep a running to-do list and prioritize items daily.
The magic: completing small tasks instantly prevents them from piling up. Over time, this simple habit drastically reduces stress and keeps your workflow smooth.
Question for the group: What’s the smallest task you keep postponing that could be done in 2 minutes?
