Better Presentations Part “Cha” – A case study IRL, or MIC it UP!
(bonus points if you can define “cha”, and pronounce it correctly).
They say “timing is everything” – so maybe this is timing? It isn’t “everything” but it is certainly something…maybe it IS everything. You decide.
As presentation professionals, we’ve all had the challenge of participating in numerous Microsoft Teams/Zoom meetings, often involving multiple speakers across various rooms and locations. These meetings are a testament to how technology can bridge distances and bring people together. However, there’s one recurring challenge that can turn a seamless experience into a frustrating ordeal, and it is TOTALLY PREVENTABLE: speakers refusing to use microphones. It’s happening RIGHT NOW in a Corporate Summit meeting, and it is frustrating the entire audience from around the world (locations in US, Canada, and South America).
Picture this: a critical meeting with corporate execs from different segments of the business, spread across multiple locations with hundreds of partners both in the room(s) and online in virtual Town Hall sessions. The agenda is packed with important updates, strategic discussions, and collaborative sales and deployment initiatives. Important/critical Partner “stuff”, and everyone is eager to learn. But as the meeting progresses, it becomes increasingly difficult to follow the conversation as multiple speakers are not using microphones to share their thoughts. They simply cannot be heard!
As we talked in our “Better Presentations” session, when speakers refuse to use microphones, the consequences are immediate, far-reaching, and catastrophic to your message delivery.
1. Inaudibility: The most obvious issue is that remote participants struggle to hear what’s being said. This leads to constant interruptions with requests to repeat statements, which disrupts the flow of the meeting.
2. Miscommunication: Important points can be missed or misunderstood, leading to potential misalignment and errors in ex*****on.
3. Engagement: Participants who cannot hear clearly may become disengaged, losing interest and focus.

4. Time Wastage: Repeating information and clarifying points consumes valuable meeting time, reducing productivity.

Why Microphones Matter (We talked about this!)
Using a microphone in a multi-room, multi-location meeting is not just a matter of convenience; it’s a necessity.
1. Clarity and Audibility: Microphones ensure that every word is heard clearly, regardless of the speaker’s location. This is crucial for maintaining the integrity of the communication.
2. Inclusivity: When everyone can hear and be heard, it fosters a more inclusive environment where all participants feel valued and engaged.
3. Efficiency: Clear communication reduces the need for repetition and clarification, making meetings more efficient and productive.
4. Professionalism: Using a microphone demonstrates respect for the audience and the importance of the meeting.

2. It all goes back to YOUR CREDIBILITY as a speaker.
As presentation professionals, let’s make a commitment to always use microphones during our meetings. It’s a small step that can make a significant difference by ensuring that our voice and our message is heard clearly! Enhance collaboration, improve productivity, and create a more inclusive and engaging meeting experience for everyone.
Remember, the goal of any presentation is to communicate your message effectively.
Let’s not let the lack of a microphone or a real on-site sound system stand in the way of achieving that goal.
