Position Overview
The Client Engagement Specialist plays a key role in building lasting relationships with our guests-from the first inquiry through post-safari follow-up. This individual will be responsible for ensuring every client feels valued, informed, and supported throughout their safari journey. The ideal candidate is personable, detail-oriented, and passionate about delivering exceptional customer experiences.

Key Responsibilities
Client Relationship Management:
●Serve as the primary point of contact for clients before, during, and after their safari.
●Respond promptly and professionally to client inquiries via email, phone, and chat.
●Build trust through personalized communication and expert guidance.
●Collect client feedback and ensure timely resolution of concerns.

Sales & Booking Support:
●Assist with itinerary customization and provide detailed information about destinations, lodges, and activities.
●Coordinate with the sales and reservations teams to confirm bookings and manage client expectations.
●Track client journeys and follow up on leads to encourage conversions and referrals.

Guest Experience Coordination:
●Work closely with directors and field teams to ensure all client needs and preferences are communicated and met.
●Send pre-departure materials, travel documents, and welcome packages.
●Maintain communication during clients’ safaris when needed for support or emergencies.

Post-Safari Engagement:
●Conduct post-trip follow-ups to gather feedback, testimonials, and reviews.
●Foster long-term relationships with repeat guests and encourage loyalty programs or referral participation.

Administrative & CRM Management:
●Maintain accurate client records in the CRM system.
●Prepare engagement reports and suggest improvements based on client data insights.

Qualifications & Skills
●Bachelor’s degree in Tourism, Hospitality, Communications, or a related field.
●Minimum 2 years experience in client relations, travel consulting, or hospitality (luxury travel/safari experience a plus).
●Excellent written and verbal communication skills in English and Swahili ( A third international language is added advantage).
●Strong organizational and multitasking abilities.
●Proficiency in CRM software and Microsoft Office Suite.
●Passion for wildlife, conservation, and authentic travel in Africa.
●Empathetic, customer-focused mindset with problem-solving skills.

Service existing accounts and establish new accounts, by ensuring that the quality and timing of response meets the company’s expectations.

Specific Responsibilities
 Prepare detailed, articulate and comprehensive itineraries and quotations;
 Manage the full booking process, from commencement to confirmation;
 Engage in the role of mentor to support staff in the team to realise their potential;
 Manage a group of safari planners and ensure that each member fulfils their role, providing the necessary support:
 Present, promote and sell products and services using solid arguments to existing and prospective customers;
 Perform cost-benefit and needs analysis of existing and potential customers to meet their needs;
 Establish, develop and maintain positive business relationships with our agents and direct guests;
 Reach out to agent leads through cold calling;
 Achieve set sales targets and outcomes within schedule;
 Coordinate sales effort with team members and other departments;
 Analyse market potential, track sales and produce status reports;
 Keep abreast of best practices and promotional trends;
 Take feedback positively and implement the necessary changes;
 Develop and test unique business strategies and concepts;
 Collaborate with colleagues and peers on the sales, marketing and product development teams to improve overall customer experience and satisfaction;
 Stay up to date on company best practices, policies, products, pricing and promotions;
 Increase overall sales efficiency and profitability through excellent sales strategies; and
 Attend training and familiarisation trips according to company requirements.

Requirements
 Tanzanian Citizenship;
 Bachelor’s degree in Tourism or related field;
 Seven plus years of relevant experience with at least four years in a managerial position.
 Understanding of local and international tourism;
 Understanding of modern IT systems, including the ability to work with Microsoft Office programmes and the Google Suite;
 Knowledge of a European language would be advantageous;
 Ability to travel when necessary, in order to meet with customers and stakeholders, to build business relationships.
