There's one question on almost every grant application that good groups answer wrong, and it quietly costs them money even when the program deserves to win.

Episode 1 of Bureaucrat-Speak, Translated: outputs vs outcomes.

An output is what you did. An outcome is what changed because you did it. Sixty kids joined your spring soccer program, that's an output. Sixty kids who spent the winter on screens are now outside three nights a week, that's the outcome, and the outcome is the only thing the funder is buying.

Your move today: open your draft, find the outcomes question, and rewrite it until it says what will actually be different for real people when you're done.

The best program does not win the grant. The best application does.

After 25 years inside government and funding systems, here are the five questions every funder is really asking:

1. Do you match our priorities? Mirror the language in their criteria, not your mission statement.

2. Can you actually deliver this? Show capacity: who does the work, and what you've delivered before.

3. Is the budget believable? Round numbers and padding kill trust. Real quotes build it.

4. How will you prove it worked? Name what you'll measure before they ask.

5. What happens when our money runs out? Funders hate being the whole plan. Show what continues after them.

Answer these five before you write a word and you're ahead of most applications in the pile.

Spent the morning with a decaf and a notepad, writing down the stuff I repeat most often about grant applications.

The short version: funders read your budget page before your story. Most applications don't die from bad ideas. They die from missed deadlines, numbers that don't match, and nobody proofreading page one.

None of this is complicated. It's just rarely written down in one place.

Save this for your next application.

I keep coming back to a few basic beliefs about local government.

Residents should be listened to before decisions are made.

Growth should be planned carefully.

Taxes and fees should deliver value.

Public meetings should be easy to follow.

Neighbourhoods should be respected.

Affordability should be taken seriously.

And leadership should be calm, practical, and accountable.

That should not be controversial. It should be the standard.
