Things people say about bookkeeping that make me cry a little 😅

Let me break these down because I hear them constantly and I love you enough to be honest:

“I only need a bookkeeper at tax time.”
This is like only going to the dentist when your tooth falls out. By the time tax season hits, the damage is already done, missed deductions, messy records, and a very stressed accountant who charges you extra for the chaos. Bookkeeping is year-round. That’s the whole point.

“I keep all my receipts in a shoebox, that’s basically the same thing.”
It is not. 😭 A shoebox is where organization goes to die, you can’t make financial decisions from a shoebox, you can’t see your profit margins in a shoebox, and when the CRA comes knocking, a shoebox is not going to save you.

“My business is too small for a bookkeeper.”
This is genuinely the one that gets me the most, because it’s exactly what people say right before they get a letter from the CRA, or realize they’ve been undercharging for years, or find out they owe way more than they expected at tax time. Small businesses need clean books MORE, not less. You don’t have a big team to catch mistakes.

Monthly bookkeeping vs. yearly drop-offs: which one is actually costing you money? 💰

If you’re still handing your accountant a shoebox of receipts once a year, this one’s for you.

Here’s the truth: quarterly or annual bookkeeping is common among small or early-stage businesses, but it comes with significant risk — when records are updated infrequently, small issues can compound quickly . It also limits your ability to track performance trends or adjust spending in a timely way. 

With monthly bookkeeping, your books are updated every month, not once a year — every sale, payment, and expense is recorded on time, giving you an accurate picture of your finances throughout the year  instead of relying on memory or digging through old receipts.

The cash flow piece matters most: monthly bookkeeping lets you see exactly where money is coming from and where it’s going, so if cash starts running low, you can act before it becomes a problem .

And the “yearly is cheaper” myth? Yearly bookkeeping seems cheaper because it involves fewer updates, but the cleanup, penalty risks, and lost deductions often make it more expensive long-term.  Monthly bookkeeping usually costs more during the year, but it often reduces missed deductions, year-end cleanup costs, and tax return preparation friction. 

Bottom line: clean monthly books = fewer surprises, lower CPA fees at tax time, and decisions based on real numbers instead of guesswork.

Three quiet signs your DIY bookkeeping is costing you more than a small business bookkeeper ever would, especially if you’re self-employed or running a small business in Ontario.

Most owners don’t catch these until tax season, so save this one:

1. You’re spending more than 4 hours a month on your books. That might not sound like much, but multiply it by twelve, and you’ve handed your business a full work week. Time you could’ve spent on clients, sales, or honestly just sleeping. Your time has a dollar value, and at some point, doing it yourself costs more than paying someone to do it right.

2. You’re guessing at HST. Be honest. If you’re rounding numbers, “kind of” tracking what you’ve collected, or hoping the CRA never asks, that’s a problem waiting to happen. HST mistakes don’t just trigger letters from the CRA, they trigger interest, penalties, and stress that lingers for months.

3. Your accountant keeps charging you “cleanup fees” at year end. This is the biggest one. If your accountant has to fix your books before they can even start your taxes, you’re paying accountant rates (much higher) for what a bookkeeper does for less. A bookkeeper all year = a smaller accountant bill at year end.

If even one of these felt a little too personal, your business has officially graduated from DIY.
